Waivers

Waivers are legal documents that help protect your club, your members, and NAITSA from liability in case of injury or harm during higher-risk activities. They ensure that participants acknowledge the risks involved and agree to take part voluntarily.

When Are Waivers Required?

Waivers are not needed for every event. They are only required when:

  • The activity involves significant physical movement (e.g., sports, dance, fitness).

  • There is a heightened safety or injury risk (e.g., travel, equipment use, outdoor activities).

  • NAITSA’s insurance provider or NAITSA Campus Clubs identifies the event as higher risk.

If your event needs waivers, NAITSA Campus Clubs will notify you during the review of your Event Submission.

How Are Waivers Provided?

If waivers are required, NAITSA Campus Clubs will provide them in one of two ways:

For NAIT students (RSVP option)
  • The waiver will be added to your event’s RSVP function on ookslife.ca.
  • This ensures every participant who RSVPs will complete the waiver digitally.
For non-NAIT students (guests)
  • NAITSA Campus Clubs will provide a form on ookslife.ca that must be completed by guests before they participate in the event.
Club Responsibilities

It is the club’s responsibility to ensure all attendees complete the waiver before taking part in any high-risk activity.

For NAIT Students:
  • All NAIT student participants must RSVP to the event via ookslife.ca.
  • RSVPs can be completed in advance or on the spot (at entry) using a phone or laptop.
  • The waiver will appear automatically in the RSVP process and must be completed as a condition of participation.
For Guests (Non-NAIT Attendees):
  • If your event is open to external guests, your club must:
    • Distribute the provided link to the waiver form.
    • Ensure each guest completes and submits the form before participating in any activity.

Important: Failure to verify waivers for all required participants may result in your event being considered non-compliant with NAITSA Campus Clubs policy or NAITSA insurance coverage.
