Booking a CHEQROOM Reservation?
Reserving equipment is a multi-step process that starts with submitting your event and ends with confirming your booking in CHEQROOM. Make sure to follow all steps carefully to ensure your reservation is approved and your equipment is ready on time.
Step 1: Submit Your Event on ookslife.ca
- Complete the Event Submission form for your club activity on ookslife.ca.
- Under “Additional Services Required,” select “Equipment.”
- This is required before any reservation will be reviewed or approved in CHEQROOM.
Step 2: Create Your Reservation in CHEQROOM
- Log in to CHEQROOM via app or browser.
- Select the menu icon > “Reservations” tab > tap the “+” icon.
- Set the pickup location (Staging Area (near NAITSA Office) or CAT Lockers).
- Enter your “From” and “To” dates and times (include setup and teardown).
- Enter your event name, then press Save.
- Click “Add Item” and choose your required equipment.
- Press Reserve to confirm.
Recurring Bookings:
Select an existing reservation and go to Actions > Repeat Reservation to schedule repeat usage on a regular basis.
Step 3: Complete Any Required Training
Some items in CHEQROOM require training before they can be used:
- Square readers require you to book Square training with NAITSA Campus Clubs through your Event Submission.
- Popcorn machines require a short training video to be reviewed before use. Watch HERE.
Any required training will be flagged when the item is selected in your CHEQROOM reservation. Training must be completed at least 24 hours before your reservation start time.
Step 4: Pay Applicable Deposits or Submit Forms
Certain items may require a cleaning deposit, equipment-specific agreement, or material fee.
- These requirements will be flagged during the reservation process in CHEQROOM.
- Deposits and documentation must be completed no later than 24 hours before your pickup time.
Failure to complete training, payments, or forms on time will result in cancellation of your equipment booking.
Changing a Reservation?
Need to update your reservation?
- More than 1 week before event:
Log in to CHEQROOM, update your reservation, and press Reserve. - Less than 1 week before event:
Update your reservation, then immediately email askclubs@nait.ca to ensure changes are processed in time.
Any changes made outside of NAITSA Campus Clubs’ office hours may not be applied immediately. Changes must be made 48 hours in advance of the equipment pickup time.
