Transitions
A successful club transition is a shared responsibility between outgoing and incoming executives. It’s your chance to pass the torch, celebrate what you’ve built, and set up your club for continued success.
Why Transitions Matter
A smooth transition helps:
- Train new Executive members.
- Preserves the knowledge and energy you’ve invested.
- Keep your club running strong from year to year.
Clubs can decide when to start the transition, but we recommend doing it early enough to give incoming leaders time to prepare for events, responsibilities, and deadlines.
How to add new Executives on ookslife.ca
Before you Begin
- Make sure incoming executives have logged into ookslife.ca at least once to activate their profiles.
- Ensure they’ve joined your club’s Organization Roster.
- Only executives with admin access (President, VP Finance, or VP Operations) can update roles.
Steps to Update Your Club Roster
- Go to your club’s page via the Left Navigation Menu and click the gear icon next to your club name.
- Under Organization Tools, select Roster.
- Click the pencil icon beside a member’s name to assign or remove executive titles.
- Check or uncheck the appropriate position boxes, then click Save.
- To create or manage custom roles, use the Manage Positions tool in the upper right.
- Review your roster’s Pending and Prospective sections to manage invites and approval requests.
Once assigned, new executives will receive an email invite.
Tip: Each club can assign only one official executive title per person. If someone wears multiple hats, describe all responsibilities within their one role.
Set Your Club up for Success
Plan ahead before graduation or the end of your term:
- Document your role. Share key files, wins, and improvement ideas.
- Mentor first-year members. Get them involved early and guide them into leadership.
- Walk new execs through ookslife.ca. Show them where to find forms, events, and resources.
- Make introductions. Connect them with staff or partners who supported your work.
If positions change during the year, update the Roster section right away. In early August, your club will receive a renewal notification on your Organization page. An admin will need to confirm registration and roles for the new year.

No Transition? No problem.
