The Roster feature is located in your club’s organization tool drop-down menu on ookslife.ca. It helps you manage your club members and executive team all in one place.
Why is the Roster important?
Keeping your roster accurate and up to date is essential to running a successful club. It supports:
- The assigning and creation of position roles.
- Inviting, editing, and removing members.
- Sending targeted messages within your club.
- Tracking attendance at meetings and events.
- Recognizing involvement through involvement records.
- Acting as your official GIV’ER membership list.
- Running elections and informational polls.
- Providing accurate information for Grants.
Everyone involved in your club—including any Club Advisors with a NAIT email address—must be accurately listed in your club’s roster on ookslife.ca. Only members listed in the roster are recognized as official club members.
Why Give Club Advisors Access on Ookslife.ca
When registering or re-registering, your club can list up to two Club Advisors. But to give them actual access to your club’s page, you must also assign them the Advisor role using the Roster tool on ookslife.ca.
Advisors usually begin with view-only access, but you can grant higher permissions—like Full Roster access—when needed. This can be especially helpful during executive transitions.
Let Advisors Stay in the Loop
- They can view your club’s events, submissions, and roster without needing constant check-ins.
- With access to bylaws, forms, and documents, they can support your team and answer questions.
- Communication is simplified—no need to manually forward emails or files.
- View-only access ensures your club stays student-led while still giving Club Advisors a clear window into operations.
- If granted Full Roster access, Club Advisors can:
- Confirm executive roles are accurate.
- Assist with onboarding new student leaders.
- Support club continuity from year to year
Note: Only Club Advisors with a valid NAIT email address can access ookslife.ca. External Club Advisors will not have access to the backend of the platform.
Tips for Managing Your Roster
- A Join button appears on your club’s homepage on ookslife.ca. Your club is responsible for reviewing and approving prospective and pending members.
- Assign a specific executive—like your VP Operations or Membership Coordinator—to keep your roster updated and monitor member activity.
