Frozen Status
Frozen Status
When a club does not follow required procedures or expectations, it may be placed in frozen status. This means your club will temporarily lose its privileges—and could even lead to dissolvement if the issues are serious or ongoing. The following takes effect:
- The club is placed in frozen status on ookslife.ca.
- It will be removed from the public organization listing, so students will no longer see it when browsing clubs.
- Club executive members will have limited access to perform actions on ookslife.ca.
- Most club privileges will be paused until the issue is resolved.
Reasons Your Club Might Be Frozen
A club may be placed in frozen status for any of the following:
- Having an incomplete list of signing authorities (President, VP Finance, or VP Operations).
- Failing to submit at least one activity or meeting per semester through ookslife.ca.
- Violating any procedures outlined on the NAITSA Campus Clubs website.
- Misusing NAITSA services or resources, such as poster boards, meeting spaces, or equipment.
- Not following the approved club profile.
- Hosting unapproved or prohibited events, such as pub crawls.
- Using external banking institutions instead of NAITSA-managed finances.
- Failing to replace or repair damaged equipment
- Displaying rude behavior, poor attitude, sense of entitlement, harassment, or bullying.
- Causing serious issues during a Type 2 Event with Alcohol, including over-intoxication or event shutdown. Negative reports from Protective Services can result in suspension from hosting future events.
- Repeated non-compliance or a single serious offense, which may result in the removal of club status and freezing of funds.
- A lack of financial transparency.
Clubs may be placed in frozen status by NAITSA Campus Clubs, or through a majority vote by the Senate or Executive Council, especially if policies or laws are violated.
What Happens If Your Club Is Frozen?
Penalties can include:
- Loss of equipment loans.
- Ineligibility for funding.
- Suspension of on-campus privileges.
- Removal of club executives.
